Please make sure you read the ADDITIONAL ANNOUNCEMENTS at the end of this email.  There is important information regarding fundraisers, volunteer requirements, summer uniforms, and music boosters.


If you are an incoming freshman that is planning to use a school owned instrument (i.e. tuba, tenor sax, baritone, etc.) please let me know ASAP so I can make arrangements for them to be available for you.

Summer Band Information

Attached to this email is the REVISED Summer Band Information Letter.  Please make sure you read through this material (and the forms at the end) before the July 4th rehearsals.  I will have the revised Band Handbook out in a few weeks with detailed information about the program.  I have also attached the Volunteer Position Recommendation Form that must be filled out and requirements met by July 9, if you will be joining us at Band Camp as a chaperone.  


Summer Uniforms for Freshmen and Rookies

If you are new to the OHS band program, you need to get your summer uniform from Egelhoff Sport Shop (located on Rt23 in Worthington).  The music boosters have a limited number of shorts that are available for purchase (see ADDITIONAL ANNOUNCEMENTS below).  The blue band polo shirt will be available at Egelhoff's.  I was recently made aware that the current uniform short does not come in smaller sizes.  I am working with Egelhoff to find a similar short that will come in sizes that will fit ALL of our members.  If you already have the shorts for the summer uniform you will not need to do anything (whatever short we change to will match what we currently have).  If you purchased a short that is too large for your band member, Egelhoff will swap them out for a size that is appropriate once we have found one that matches.


Summer Band Music

All summer band music is available from the band web site.  Please take a few moments and download the music and start working on your parts.  The more you can have memorized before band camp, the easier it will be to put things together at camp!  :)  If the normal link for the band website is not working, try:  http://ohs.olentangy.k12.oh.us/teachers/ian_brun/ 


Freshman and Rookie Email Addresses

Due to some communication errors at the end of the year, I do not have addresses for all incoming freshmen.  Please have your band members check with their friends to be sure that we have email address for all incoming students.  If I do not have their address, please have them email me at ian_brun@oelntangy.k12.oh.us and include their students name, graduation year, and email address to be added.


Emergency Medical Forms and Other Paperwork

In the back of the Summer Band Information are a few forms that we need to have filled out and returned.  Please make sure that forms are as complete as possible.  


Car Wash

Due to the poor weather on July 11, we are going to try and reschedule the car wash for later in the summer.


Summer Mini-Camps

July 4th Parade Rehearsals will be held at OHS

Mini-Camp has been moved to ORANGE High School for the week of July 27-31.  This is to ensure that we have an indoor rehearsal area to enable us to "get out of the sun" for awhile.  


Rookie Mini-Camp

All incoming freshmen and any student that is new to the OHS band program are expected to attend Rookie Camp.  This is the time that you will learn the "Olentangy" way to march and play as well as meet some new (and old) friends in a fun non-threatening environment.  Members should dress in appropriate clothing for the weather (I would dress in layers since the weather has been on the cool side lately), and make sure they have tennis shoes and white socks for marching.  Members should also bring a large water bottle, sun block, their instrument, and a copy of their show music.  Please refer to the Summer Band Information (attached) for additional details.


Color Guard and Percussion Mini-Camp

Your Caption Head should have already been in touch with you about your camp.  If you need additional information please refer to the Summer Band Information (attached) or contact your Caption Head directly.  Reminder: Members should pack a lunch and dinner will be provided.


Leadership Mini-Camp

All Band Officers and Section Leaders should plan to attend our Leadership Mini-Camp.  The leadership team should wear cool comfortable clothing, white socks, and tennis shoes.  A water bottle and sun block would also be appropriate since we will be spending part of our time outside in the sun.  We will be working with the leaders on how to lead their sections, teach drill moves, correct posture and marching errors, and generally be a positive role model.  Leaders should come prepared to learn a little and teach a lot!  A tennis ball is a great tool to have on hand for demonstrating various heel and toe placements, as well as a roll of masking tape for your section to mark coordinates on the field. Please refer to the Summer Band Information (attached) for additional details.

Pre-Band Camp Rehearsals

ALL band members should report to the band room by 4:50pm in order for rehearsal to start at 5:00pm.  Members should wear cool comfortable clothing, white socks, and tennis shoes (no sandals or flip-flops).  A water bottle and sun block would also be appropriate since we will be spending part of our time outside in the sun.  We will spend half of rehearsal rehearsing show and stand music, and the other half outside reviewing marching techniques and basic drill moves.  We will also start working on pre-game at this time.  All band members (Colorguard and Percussion included) need to bring a 1" 3 ring binder with around 25 plastic sheet protectors (to hold show music, coordinate sheets, and other bits of information so buy a box and share with your friends), a drill book (small spiral bound memo book) on a long shoe lace that can be tied and worn around the neck, a pencil, and a roll of masking tape for marking coordinates on the field.

The Music Boosters have summer uniform shorts available in limited amounts.  We will be selling them a little below Eglelhoff's price - plus no tax!

ADDITIONAL ANNOUNCEMENTS:


As band camp approaches, we feel the need to address the issue of volunteers.  Please understand that the degree of responsibility we ask the volunteer to assume dictates the requirements for that person to become a legitimate, Board approved volunteer.  


The volunteer who comes to camp for the day or part of a day as a guest speaker or instructor, assists with serving lunch to the students, is with students to perform a particular function and leaves the presence of our students once that function is completed is our most common type of volunteer.  This volunteer must never be left alone with students under any circumstances.  They must always be accompanied by a certified employee who is in charge of supervising the students and the guest volunteer.  There are no other requirements for this type of volunteer.  The Human Resources Office doesn't even need to know who these types of volunteers are.


The volunteer who routinely works with students, assists with a particular section of the band, under a certified employee's supervision, must be approved by the Board as a volunteer (BCI and FBI fingerprinting, the private background check, a copy of their driver's license and a recommendation form from the supervising teacher and the building principal).


The volunteer who helps chaperone students overnight and is asked to solely supervise students must be approved by the Board as a volunteer and hold a valid Pupil Activity Supervisor's Permit.  The PASP requires all the above and proof of completion of a Sports Safety Training or First Aid course, the Fundamentals of Coaching course and completion of the PASP application and fee.


There are always two ways of viewing "the fences" that we incur.  Some see the fence as a barrier that prevents them from going where they want to go.  Others see the fence as a wall of protection to keep those inside the fence safe and secure.  The above guidelines are intended to protect our students, all of us associated with the volunteer program and the Board of Education.  Please work with Caroline Dewese to get your volunteers for band camp approved as necessary according to the criteria above.  If you have questions about a particular scenario, please call me at the number below to discuss it.  Please note that there is only one Board meeting in July, the 9th, so we need to approve all volunteers for band camp by that date.

The recent vote at the April 13th OMBA meeting to move forward with the Olentangy / Orange booster split has created an opening on the Olentangy board for a new Treasurer.  Doris Swing, our current Treasurer, will be moving to support the new Orange booster program.  The OMBA board would like to appoint a new Treasurer as soon as possible.  If interested please forward your name and number to my email joeftaylor@aol.com.

CODE OF REGULATIONS

OF

OLENTANGY MUSIC BOOSTERS ASSOCIATION, INC.


June 9, 2008


Section 7. Treasurer. The Treasurer shall be the principal accounting and financial officer of the Corporation. He or she shall:


(a) have charge of and be responsible for the maintenance of adequate books of account for the Corporation and shall provide the Executive Board with regular reports of the Corporation’s financial condition;


(b) have charge and custody of all funds and securities of the Corporation, and be responsible therefore, and for the receipt and disbursement thereof;


(c) prepare or cause to be prepared an annual audit of the books of the Corporation and shall present a report of such audit at the meeting of the Executive Board next following the completion of the audit; and


(d) perform all the duties incident to the office of Treasurer and such other duties as from time to time may be assigned to him or her by the President.

Dear Olentangy Music Booster Parents:


We’re pleased to share some exciting news about a new fundraising program for our organization.  It’s called “scrip”, and it’s the fundraising program that works while you shop.


 Scrip is simply a word that means “substitute money” – in other words, scrip is gift certificates from national and local retailers.  They’re the same gift certificates that you buy at the store.  Many popular retailers participate in our scrip program including JCPenney, The Gap, Shell, Pizza Hut, Red Lobster and many, many others.

 We’ll be answering questions about our new scrip program at the next Music Boosters Meeting, OOHS, April 13, 2009 and we urge you to attend.
