MONEY
        1. Needs - meals (2) on bus going down & returning (total of 4); app. 3 more for a total       of  7.

        2. Optional - Money for mementos, snacks, t-shirts, etc.

        To include but not limited to:
               1. Uniform - complete w/ gloves, hat & box, shoes, black/blue socks.

               3. Travel clothes - comfortable, modest, and warm

               4. Swim suit & towel - optional - if time for hotel pool
               
               5. Soap, shampoo, deodorant, etc.

               6. Jammies

               7. Outfit for return trip

               8. Instrument!!

               9. Pillow for bus...you’ll be glad you did

               10. One (1) medium suitcase, One (1) carry -on, Uniform in bag

               11. Munchies for trip...in carry-on

Chaperone Responsibilities
1. Understand the trip philosophy; Be familiar with the itinerary and the rules/regulations.
2. Abide by the trip regulations; set a good example
3. The welfare of our students MUST be our prime consideration; get to know the students, share in their activities and conversations.
4. Approach your duties as an “advisor”, as opposed to policeman.

Student Supervision
1. Assist in group control on the bus, in restrooms, restaurants, at the hotels and on tours
2. Assist students with uniform problems, instruments cases, personal effects.
3. If you should observe a student breaking a trip rule or behaving improperly, try to solve            the problem as inconspicuously as possible; avoid embarrassment to the student,        yourself, and the band.
4. Rather than engaging in an argument or physical restraint, inform the directors if you       experience disrespectful or uncooperative behavior from a student; directors will      handle all disciplinary action 
5. Interference by persons outside our own entourage MUST be reported to the directors/hotel management immediately!

Bus Duties

1. Help load and unload equipment and baggage   
2. Make frequent trips up and down the aisle of the bus.
3. Check the bus restroom occasionally.
4. Help keep the bus clean - garbage bags are usually provided.
5. Take attendance after each time we return to the bus.
6. Keep the students on the bus; wait for specific instructions.

Personal Health

1. If a student or adult becomes ill, injured, emotionally upset or fatigued, notify the nurse chaperone and directors immediately.

2. The directors must be notified if/when a student needs medical attention beyond our capabilities.

Meals

1. Chaperons will eat first and try to finish early in order to supervise bus boarding; Directors will eat last and will make final check of the restaurant/hotel before departures.

Hotel Conduct

1. All chaperons will notate rooming assignments; chaperons will locate the rooms they are responsible for while students are checking in.

2. Each chaperone will be assigned specific rooms to check at lights out, review the upcoming day’s schedule and announcing any changes.

3.Be alert for any misuses of rooms or any other improper nocturnal activities; report concern to directors.

4. We will have an evening security guard on duty all night...they will keep others way from us, and see to it there are no late night wanderings.










RULES AND REGULATIONS - New York trip 2005

The Olentangy Marching Band has been selected to perform as one of 25 high school bands from around the country for the 60th anniversary of the end of WWII as well as the Nation‘s Parade - for Veterans. These selections come as a result of hard work and discipline on your part. Let us maintain the high degree of excellence and determination that we have exhibited this season that got us these selection!

To undertake a trip of this magnitude has required and will require much from each band member, his/her parents, and the directors in the way of understanding and cooperation. The enormous amount of time invested in planning, fundraising, and rehearsing demand a serious commitment from each of us to see that all operates smoothly.

PARENTS: Please review with your band student the responsibilities required during this trip. Please cover the general behavior and all regulations contained herein. Please do not hesitate to contact Mr. Lutz should you have any questions.

The rules in the Olentangy Student Handbook will apply to this trip, since it has been approved by the school board. The band handbook rules also apply. So there is no confusion, the following has been added.


STUDENT RESPONSIBILITY

It is expected that all students on this trip will conduct themselves in the appropriate manner. Bad behavior reflects on our school, community, and band.

        Smoking and/or the possession or use of illegal drugs, alcohol or their paraphernalia will not be tolerated.
        There will be no leaving the hotel premises for any reason.
        Negative behavior that is detrimental to the group or success of the trip (as determined by the directors) will not be tolerated.

Students found in violation of the above will be sent home immediately at their family’s expense.

        Each person is expected to be polite and courteous to the chaperons, hotel staff, tour guides, food service personnel, etc.   “Please” and ”Thank you” should be a regular part of your daily vocabulary. We want people to feel glad we cam and not rejoice at our departure!

Punctuality - Many elements of this trip are structured around a precise timetable. It is vitally important that all students are fully aware of specific times for scheduled events and that each makes a personal commitment to be ON TIME.

Luggage
        Each student will be permitted to bring one MEDIUM suitcase, a carry-on bag, garment bag with band uniform, and their instrument. The suitcase and instrument will be carried underneath in the luggage compartment. The carry-on will be stored in the overhead compartment. Please be sure all items are properly identified. Roommates should plan accordingly to avoid bringing four each of radios, hair dryers, etc.  Personal audio only with ID. headphones may be brought along on the bus.

Clothing
        School type clothes are fine for daytime events. You may wish to bring a nice outfit for the awards and dinner dance. And a must....Comfortable walking shoes!

Hotel Rules
        Visitation is permissible prior to announced lights out times. There will be NO visiting rooms of the opposite sex. Noise level MUST be kept to a minimum...especially on some of our late returns or check ins. You must remain in your assigned room from lights out to breakfast. NO EXCEPTIONS!

Phone Calls - don’t, Because you will be billed for them. Use the pay phones in the lobby, or your cell.

Bring swimsuits if you wish to swim at the pool

Combine items: One person per room bring an alarm clock, hair dryer, etc.

The carry on bag will be the only piece of luggage that you will have access to until we get to our Hotel  (or home). Please plan accordingly

Ripped jeans and shirts w/wo questionable designs or messages are not appropriate while on this tour.

November
        10 -
                5 am  - be here with all your luggage & instrument  for checking

               app. 5:00 pm - arrive at New York University - food court - meal coupon provided

               9 pm - check into hotel
               11 pm - in bed, bed checks, and lights out
        11 -   7:30 am - buffet breakfast at hotel - in bibs, etc - NO UNIFORM COATS
                             then leave for downtown
               10 am - ceremony - Eternal Light Monument - Madison Square Park
               TBA - Step off in parade
               After parade  - taken to Intrepid Museum - perform on deck - stand & play
               7 pm - From performance - directly to awards and dinner/dance
               11:00 pm - return to hotel, lights out
        12 -   7:30 am - buffet breakfast at hotel & check out of Hotel - LISTEN TO                                             CHAPERONES FOR PROCEDURE (the night before at bed checks)
               after breakfast - to town for walking tour of 9/11 memorial, wall street, lower                                             Manhattan (shopping!)
               12 noon - lunch - you pay
                 2 pm  - Lion King -  New Amsterdam theater, West 52nd Street
               lunch on own
               5:00 pm - depart for home
               Dinner stop app 9 pm - you pay
